Why is Rainbow Club moving to continuous enrolment and monthly billing?
Rainbow Club is moving to a continuous enrolment model to make lessons easier to manage for families and support more consistent participation for members.
Monthly billing also reduces the impact of larger upfront invoices by spreading payments more evenly across the year.

What does continuous enrolment mean?
Continuous enrolment means your child’s enrolment will continue automatically unless you choose to cancel or request a change.
Families will no longer need to re-enrol each term.

How is this new model related to NDIS changes?
Over the past few years, many families have experienced changes to how NDIS supports and payments are managed. These changes have often created additional administration and uncertainty for families.
Moving to a simpler year-round enrolment and billing model will provide greater consistency, reduce administration and help families stay connected to their Rainbow Club lessons throughout the year.
It will also help Rainbow Club focus more time and resources on supporting members, families and teachers, while continuing to grow services for children and young adults with a disability.

Lessons & Teachers
Will lessons operate during school holidays?
At many locations, lessons will operate across additional weeks of the year, including select school holiday periods.
Other clubs will continue operating within their existing scheduled program due to pool hire arrangements.

Will my child keep the same lesson?
Yes. Existing members will remain enrolled in their current club and lesson unless a change is requested by the family or discussed with you by Rainbow Club.
Wherever possible, we aim to maintain consistency in lesson times, teachers and class environments to support routine and familiarity for members.
Occasionally, changes may be required due to progression, staffing or operational needs, however families will always be notified and supported through any transition.

Can my child’s lesson time change?
Occasionally lesson times may change due to progression into a different level, adjustments to class structures or operational requirements at your club.
Families will always be notified in advance and Rainbow Club will work closely with families to support a smooth transition.

Will my child have the same teacher each week?
Wherever possible, Rainbow Club aims for members to learn with the same teacher each week to support familiarity, routine and confidence in the water.
At times, teacher changes may be required due to leave, illness or scheduling requirements. When this occurs, our team will work to ensure members continue to feel safe, supported and comfortable in their lessons.

Will my child’s level or program change because of continuous enrolment?
No. Continuous enrolment does not change your child’s current level, program or learning pathway.
Members will continue to progress through Rainbow Club programs as they do currently, based on their individual development and assessments.

How does continuous participation benefit my child?
Many members benefit from routine, familiar environments and regular participation.
Continuous lessons help members continue developing their swimming, water safety and social skills while maintaining confidence and connection with their club community.

What if I want to go on holidays?
Families can record planned absences through the Parent Portal up to 3 weeks in advance and no later than 3 hours before the lesson start time.
If the absence is recorded within these timeframes, a make-up lesson token will automatically be issued for eligible lessons.
Please note that recording an absence does not pause or cancel your enrolment and lesson fees will continue to be charged as normal. This ensures your child’s place in the class is reserved while they are away and available when they return.
If you are planning an extended absence, please contact Rainbow Club to discuss your options.

Billing & Payments
When will monthly payments be processed?
Monthly direct debit payments will be processed on the 1st of each month.
Monthly amounts may vary depending on the number of lessons scheduled at your club in that month, excluding public holidays, planned closures and school holiday operations.

Will I still receive invoices and receipts?
Yes. Families will continue to access invoices and receipts in the Parent Portal, under the My Payments tab.
Will families be charged during Christmas closures or public holidays?
No. Families will not be charged during scheduled closure periods including Christmas shutdowns, public holidays and selected Rainbow Club event dates.

What happens if I miss a payment?
If a payment is unsuccessful, our direct debit provider will automatically attempt the payment again 3 days later.
Families will receive a reminder notification before each payment is due, as well as updates if a payment needs to be retried.
We understand that unexpected situations can arise. Families experiencing difficulty with payments are encouraged to contact our Member Services team as early as possible so we can provide support and discuss available options.
Please note that dishonour fees will be applied by our payment provider for unsuccessful payments. These fees are not charged or retained by Rainbow Club. Continued unsuccessful payments may result in cancellation of enrolment in line with Rainbow Club’s Terms and Conditions.

What happens if a lesson is cancelled by Rainbow Club?
If a lesson is cancelled by Rainbow Club (for example, due to a last-minute pool closure or teacher illness), a credit will be applied to your account for the affected lesson.
This credit will automatically be applied to your next direct debit payment before the remaining balance is charged.
Refunds will not be issued for cancelled lessons, as outlined in our Terms and Conditions.

What if my direct debit details change?
Families can update their payment details securely through the Parent Portal at any time to ensure payments continue without interruption.
Can I discuss alternative payment arrangements?
Monthly billing will be the standard payment process under continuous enrolment.

How will NDIA-managed and Plan-Managed NDIS payments work?
Rainbow Club will continue to process and submit invoices directly to your nominated Plan Manager or the NDIA where applicable, in line with current arrangements.
Families do not need to submit invoices separately.

Will self-managed families use direct debit?
Yes. Self-managed families will move to the monthly direct debit system.
Attendance & Enrolment
What happens if my child misses a lesson?
Families can record absences through the Parent Portal if their child is unable to attend due to illness, holidays or other reasons.
If an absence is recorded at least 3 hours before the lesson start time, a make-up lesson token will automatically be issued.
Monthly fees continue during absences, as your child’s place in class remains reserved and available for their return.

Can my child do a make-up lesson?
Yes, where eligible and available.
Families can use make-up lesson tokens through the Parent Portal to book into an available class that matches their child’s current level.
Make-up lesson tokens are valid for 60 days from the date they are issued and are subject to class availability.

Do make-up lessons expire?
Yes. Make-up lesson tokens remain valid for 60 days from the date they are issued and can be used subject to class availability.
If your enrolment ends or monthly payments cease, any unused make-up lesson tokens will expire following your child’s final paid lesson date.

Will my child’s class size change?
No. Class sizes and teacher-to-member ratios will remain the same.

How do I cancel or change my enrolment?
Families can request changes or cancellations at any time using the Member Cancellation Form.

To avoid charges for the following month, cancellation requests must be received by the 25th of the month prior to the next billing date.
Example: If your next billing date is 1 September, your cancellation request must be received by 25 August.
During the transition period, cancellation requests submitted before 1 July 2026 will only apply to lessons from July 2026 onwards.
