Emergency Evacuation Procedure

 

1. Alarm Activation

  • Immediate Response: When the alarm sounds, the Lead Teacher immediately directs all Teachers and Members to get out of the pool.

2. Pool Evacuation

  • Lead Teacher: Shout clear instructions for evacuation and ensure all Teachers and Members begin exiting the pool immediately. 
  • Teachers: Assist Members out of the pool and ensure they stay together. No one should leave the group or the premises independently. 

3. Group Assembly

  • Form Groups: Teachers must ensure Members are grouped together with their respective Guardians or Parents. 
  • Supervision: Teachers must maintain close supervision of their groups, ensuring no one wanders off. 

4. Follow Evacuation Routes

  • Emergency Evacuation Map: Follow the evacuation routes indicated on the Emergency Evacuation Map for your specific location. 
  • Orderly Exit: Move quickly but calmly, ensuring everyone stays together and follows the Lead Teacher’s directions. 

5. Arrival at Safe Spot

  • Assemble: Upon reaching the designated safe spot, each group should assemble in an orderly fashion. 
  • Lead Teacher: Ensure all groups have arrived at the safe spot. 

6. Roll Call

  • Attendance: The Lead Teacher will conduct a roll call to account for all Members and Teachers. 
  • Verification: Confirm with each Teacher that all their assigned Members and Guardians or Parents are present. 

7. Contact Development Manager

  • Lead Teacher: Immediately contact the Development Manager to inform them of the emergency and provide an update on the evacuation status. 
    • Method: Use a pre-determined communication method such as phone call or radio. 
    • Details: Include information such as the nature of the emergency, number of people evacuated, and any immediate needs or concerns. 

8. Further Instructions

  • Await Directions: Once everyone is accounted for, await further instructions. 
  • Emergency Services or Aquatic Centre Manager: Follow any additional directions provided by emergency response personnel or the Aquatic Centre Manager. 

9. Dismissal

  • Safe Dismissal: Only dismiss Members and Guardians or Parents once it is confirmed safe to do so, as directed by emergency personnel or the Aquatic Centre Manager. 

 

Additional Documents 

  • Emergency Evacuation Map: Ensure you have an updated copy of the pool location’s emergency evacuation map, which should be clearly marked and displayed prominently. 
  • Crisis Management Plan: Maintain an accessible, completed, and updated copy of the Crisis Management Plan, which includes: 
    • Contact Details: Phone numbers and contact information for all relevant personnel, including the Development Manager, emergency services, and any other key contacts. 
    • Emergency Procedures: Detailed steps for handling various types of emergencies. 
    • Roles and Responsibilities: Clear delineation of responsibilities for all staff members during an emergency. 
  • Risk Management Policy and Procedure: Ensure all staff are familiar with the Risk Management Policy and Procedure, which outlines how to identify, assess, and manage risks within the swim school environment. 
  • Emergency and Disaster Management Policy and Procedure: Ensure all staff are familiar with the Emergency and Disaster Management Policy and Procedure, which provides guidelines for responding to various types of emergencies and disasters. 

 

Additional Notes 

  • Training: Regularly train all Teachers, Members, and Guardians or Parents on the emergency evacuation procedure. 
  • Drills: Conduct periodic evacuation drills to ensure familiarity and preparedness. 
  • Communication: Ensure all Teachers have a means of communication, such as whistles or hand signals, to coordinate during an emergency. 
  • High-Risk and Special Needs Members: Note any Members with high-risk disabilities or potential risk factors that may need further support during an evacuation (e.g., Members who use wheelchairs or have limited mobility). 
    • Special Provisions: Assign specific staff to assist these Members to ensure their safety during the evacuation.
